Licensing Approval

Insights from the Field: Exploring Real-World Case Studies

Problem Statement:

Manual Submission:

Manually submitting artwork proofs can significantly slow down production, especially for multiple orders.

Time-Consuming Manual Process:

The manual submission process for artwork proofs takes approximately 10 minutes per submission.

Tedious Task for Large Projects:

For projects with over 500 items, the manual submission process becomes particularly cumbersome. It would take approximately 83 man-hours to complete the submission process for such projects, which is both inefficient and prone to errors.

Solutions:

To address these challenges and streamline the artwork proof submission process, we developed a solution that leverages intelligent logic and API connections to the licensing portal. This solution pre-feeds artwork information into approval templates, reducing cross-verification time and minimizing the need for human intervention.

Implementation Details

Intelligent Logic Integration:

We integrated intelligent logic into our system to automate the submission process. This logic allows the system to gather purchase order artwork details and automatically match them with the corresponding brand licensing guidelines of respective brand from CLC and Fermata in order to process the order.

API Connections to Licensing Portal:

By establishing API connections to the licensing portal(Like CLC, Fermata etc.), our system retrieves necessary information about the artwork order status, reason for disapproval or any other issues with the existing order.

Reduction of Cross-Verification Time:

With the artwork information pre-fed into approval templates, the need for manual cross-verification is significantly reduced. This not only saves time but also minimizes the risk of errors associated with manual data entry.

Automated Submission Process: Once the artwork information is pre-fed into the approval templates, the submission process is automated. The system automatically generates and submits proofs to the appropriate universities for review and approval.

"Licensing approval is more than just a legal process; it's a reflection of the shared vision between creators and licensors."

Benefits:

Time Efficiency:

By automating the submission process and reducing cross-verification time, our solution significantly reduces the time required to submit artwork proofs. This allows for faster turnaround times, especially for large projects.

Resource Optimization:

With the manual submission process replaced by automation, valuable human resources can be redirected to more strategic tasks, improving overall productivity and efficiency.

Error Reduction:

Automation minimizes the risk of errors associated with manual data entry and cross-verification, ensuring the accuracy and quality of submitted artwork proofs.

Scalability:

Our solution is scalable and can accommodate projects of varying sizes, catering to various industries sizes in promotional product industry.

Conclusion :

By leveraging intelligent logic and API connections to the licensing portal, our solution effectively streamlines the artwork proof submission process, reducing manual effort, saving time, and improving overall efficiency. With automation at its core, our solution not only addresses the challenges posed by manual submission processes but also sets the stage for future scalability and innovation in artwork management workflows.
